HIPAA Compliance and More

HIPAA compliance is a must have for any web based medical scheduling, it’s table stakes really. We’re compliant right out-of-the-box with no special action on the customer side needed.

We didn’t stop there. We know protecting PHI is paramount, but not the only concern. Our platform is also SOC2 compliant so you can collect payments without worry and 508 compliant so patients with disabilities can easily schedule appointments. We adhere to the guidelines set forth by the GDPR law and follow the latest cybersecurity best practices. You are in good hands with us.

EHR/EMR Integrations

Aside from HIPAA compliance, integrating with EHR/EMR systems was the biggest need identified by our customers. Our development team is hard at work adding integrations to popular EHR/EMR systems. These take time to build, and we have a roadmap to add more to the list, but we’re also happy to discuss particular needs with current and prospective customers. Generally, the process is to have our team meet with your EHR technical lead, then we take it from there. Be sure to let us know what EHR/EMR system you’re using during your demo!

For organizations with more customized needs, we also offer an “API-only” approach. This allows you to leverage our appointment scheduling technology while creating your own front-end experience and any custom integrations you may need. Clearly this requires some heavy lifting on the customer side, but we’ve worked hard to create an API that is extensive, well-documented, and designed for ease of use. We also have a US-based support team that can work with you to make sure you get the most out of TimeTap!

Team Scheduling

Our newest feature (as of writing this) is designed to simplify scheduling with complex teams. It is not uncommon for a patient to see multiple people in a single visit – a nurse for intake, a GP, and then maybe a specialist. With Team Scheduling, a patient can book every step with one click. This reduces the need for return visits because the next practitioner isn’t available or long wait times between seeing each member of their care team.

In cases where a patient only needs a type of person, roles can be used to help assign a practitioner to an appointment. An example of this is a research team that has patients coming in for a scientific study. They may need to meet with a phlebotomist and a researcher, but it doesn’t need to be specific ones, any staff members in those roles could facilitate the appointment. Team Scheduling is a powerful tool for both patient experience and office efficiency.

Appointment Intents

This feature is only available in certain configurations of TimeTap. It allows organizations to create a set of appointments that are intended to be made with certain conditions. This works well for things like physical therapists that set up a series of appointments. Say a patient needs six weeks of therapy with two visits per week, 12 intents can be created with conditions of timing applied – two for next week, two for the week after, etc. The patient can then go and pick times that work for them for each of the appointments. The conditions limit when a given appointment can be scheduled, so the patient can’t accidentally schedule three appointments in one week.
